Privacy Notice

De La Salle-College of Saint Benilde (DLS-CSB) respects the individual’s right to privacy. The College is committed to protect the confidentiality of your personal information thus it has adapted necessary measures to secure it. The College is bound to comply with the Data Privacy Act of 2012 (RA 10173), its Implementing Rules and Regulations and relevant issuances of the National Privacy Commission.

This Privacy Notice discloses the privacy practices of De La Salle-College of Saint Benilde, specifically the Benildean Yearbook Office (BYO). By filling up BYO forms and accessing the site join.theadastra.org, you are consenting to our collection and use of information in accordance with this Privacy Notice.

What information do we gather about you?

You may need to provide us the following personal information and sensitive personal information by filling up the required BYO forms to provide you with its services:

  1. Name
  2. ID Number
  3. Degree Program
  4. Place of Birth
  5. Nationality
  6. Birthdate
  7. Email Address
  8. Phone Number
  9. Portfolio

What do we use your information for?

BYO collects, uses and/or processes personal information for purposes of identification of a student, filling in details for the AD ASTRA Yearbook, processing subscription, and delivering/claiming of the yearbook and complaint monitoring.

Should the student choose not to provide any of the above personal information, BYO may not be able to accommodate his/her request for subscription to AD ASTRA Yearbook.

Student personal information is shared internally within the College when appropriate to meet legitimate purposes. Your data will only be shared between associates/members of BYO who have the official need to have access or has the legitimate educational interest to it.

BYO will not share your personal information with third parties unless necessary for theabove mentioned purposes and unless you give your consent thereto. Personal information shared with such third parties may also be covered when appropriate by an agreement to ensure that all personal information is adequately safeguarded.

We also use the information gathered from you for systems administration purposes, abuse prevention, and to track user trends, and for the other purposes described in this notice. If you send us an email, post on our Facebook page or Twitter account, the email address, Facebook or Twitter account you provide may be used to send you information, respond to inquiries, and/or other requests or questions. We will not share, sell, or authorize any third party to use your email address and social media accounts for commercial purposes without your permission

We may also provide your information to third parties in the following circumstances: (1) when you have given consent; (2) if it is in response to subpoenas, court orders or legal processes; (3) a requirement to fulfill a service that you have subscribed to; (4) detect, prevent or otherwise address fraud, security, or technical issues; or (5) protect our rights and safety and the rights and safety of our users or others.

BYO will disclose some of your personal information in the yearbook, namely: name, degree program and photos/images to which third parties may have access to.

Furthermore, BYO will share your name, mailing address, contact information and photos/images to third parties like the courier company, official photo studio, and printing press for purposes of identification, communication, and delivery.

How is this information collected?

Your personal information is primarily gathered through the forms that you fill out and from documents you submit to the BYO and to the site theadstra.org.

You may choose not to give your personal information, however BYO may not be able to provide the service that you may require.

Google and other third parties may use cookies, and similar technologies to collect or receive information from this website and elsewhere on the internet and use that information to provide measurement services and target ads

Information Protection

The BYO and theadasra.org has reasonable administrative, physical, and technical security measures in place to help protect against the loss, misuse, and alteration of the information under our control. However, no method of transmission over the Internet or method of electronic storage is 100% secure.

The College protects your personal information through:

  1. Confidentiality requirements and data privacy training of our associates/members;
  2. Document storage security policies;
  3. Security measures to control access to our systems and premises;
  4. Limitations on access to personal information;
  5. Strict selection of third party data processors; and
  6. Electronic security systems, such as firewalls and data encryption.

Storage and Transmission

Personal information collected via the internet or other electronic methods is stored in a secure database, while physical records of personal information are stored in locked filing cabinets.

Retention Period

Your personal information stored or kept manually or electronically, shall be retained until they are still relevant for BYO or for the College. After the set retention period, these records will be securely disposed of.

Data Subject Rights

You have the following rights as data subjects:

  1. Right to be informed what personal information the College holds about you and what it is used for;
  2. Right to reasonable access your personal information;
  3. Right to object to the processing of your personal information;
  4. Right to update the personal information the College holds or to rectify inaccurate data;
  5. Right to erasure or blocking;
  6. Right to data portability;
  7. Right to file a complaint; and
  8. Right to damages.

You may request access to your personal information, and/or have it corrected or erased on reasonable grounds. The College will consider the request and reserves the right to deal with the matter in accordance with the law. However, your personal information in the yearbook cannot be corrected or erased once it is being printed.

Amendment/Modification of Data Privacy Policies

The College reserves the right to modify/amend this notice at any time in its sole discretion and will publish such modification in our College’s official website or by email announcement through the official DLS-CSB email accounts. The modification shall take effect immediately upon posting.
